Administrative Assistant

Company Summary:

Job Summary:

As an Administrative Assistant, you will provide administrative support, including preparation of various reports and correspondence, special projects, and the scheduling and coordinating of meetings.  This person must be motivated and reliable, with exceptional interpersonal and communication skills and an understanding of the importance of creating and maintaining positive impressions of your department and the company overall. You must also be able to work independently with strong multitasking, time-management, and prioritization skills.

Roles and Responsibilities (not limited to):

  • Management of daily calendar and scheduling on/off site meetings
  • Daily activities in QuickBooks and banking accounts; reconciliations, accounts payable and receivables
  • Reviewing and coordinating correspondence for executive signature, including e-mail, internal, and external correspondence
  • Cultivating and maintaining positive and professional relationships with corporate and subsidiary staff including clients and vendors
  • Exercising discretion in the handling of confidential material, make decisions and problem solving
  • Performing other related duties as assigned

Education and Experience:

  • Great attention to detail in composing, typing and proofing materials
  • Ability to prioritize, meet deadlines and work independently
  • Proven experience as an administrative assistant
  • Strong background in QuickBooks
  • Experience with a wide range of office software, including word processing, spreadsheets, databases, graphics, and desktop publishing applications (particularly Word, Excel, PowerPoint, and Outlook)
  • Strong phone etiquette and grammar and spelling skills
  • High school diploma or equivalent; college degree or some college, preferred

Physical Requirements

  • Ability to lift up to 25 lbs
  • Attendance is an essential function of this job
  • Sitting at a desk utilizing a computer and monitor
  • Ability to work in a constant state of alertness and safe manner
  • Bending, crouching or stooping may be experienced

Job Type:  Part-Time

Job Hours:  Monday thru Friday:  9 am to 1 pm

Customer Service Representative

Company Summary:

Position Summary:

As a Customer Service Representative you will deliver a quality customer service experience that meets and exceeds service level standards, builds rapport and long-term relationships with customers / team members.  In this position you will work with Customer Accounts, Accounts Payable / Receivable, Transportation and Order Processing.  You will be required to stay current and knowledgeable of all procedures in multiple areas of our business.

Duties and Responsibilities:

  • Work in conjunction with other departments to resolve customer disputes & demonstrate the ability to become proficient in the use of operational systems.
  • Demonstrate effective use of software applications; MS Office, WMS, QuickBooks.
  • Delivers services to customers in a manner that promotes goodwill. Interacts with customers and team members to determine service requirements and resolve problems or complaints.
  • Work in a fast paced, cooperative, high call / email volume environment.
  • A typical schedule for this position is Monday-Friday, with an occasional Saturday as needed.
  • Process AP / AR documents daily, weekly and monthly
  • Verify accuracy of invoices, coding and appropriate approval prior to payment
  • Work as part of a team to accomplish weekly and monthly goals
  • Communicate with vendors / customers to resolve AP / AR related issues
  • Other duties as assigned

Physical Requirements

  • Ability to lift up to 30 lbs
  • May experience moderate noise levels throughout the day
  • Sitting for long periods of time at a desk utilizing a computer and monitor
  • Walking, reaching, bending, crouching or stooping may be experienced

Education and Experience:

  • 2 years of Customer Service experience.
  • 2 years of Accounts Payable experience (preferred).
  • Experience with MS Word, Excel, and Email preferred. Typing and 10-key skills are required.
  • Excellent organization and communication skills.
  • Ability to analyze and solve problems. Gather data, compile information, and prepare reports.
  • Strong accounting knowledge, analytical ability, and attention to detail.
  • Excellent communication, organization skills and upbeat personality.
  • Ability and desire to foster a positive and dynamic workplace culture both in the office and across all departments.
  • Demonstrated interpersonal skills.
  • High school diploma required. College accounting or finance coursework preferred.

Work Hours:  8:00 am to 5:00 pm, Monday thru Friday (outside of these work hours as needed).

Reporting Structure:

The Customer Service Representative reports to the Office Operations Manager.


Warehouse Team Member

Company Summary:

Job Summary:

Responsible to complete selection orders by selecting products from the warehouse racks and to assemble, palletize and/or shrink wrap products/pallets for customer orders; accountable for meeting productivity, accuracy and safety work standards. May be required to use a variety of powered industrial equipment and may be required to work in dry, warmed or cooled product areas.

Roles and Responsibilities (not limited to):

  • Complete selection orders; select products from the warehouse racks/pick slots, assemble, palletize and/or shrink wrap products/pallets for customer orders, and label cases/pallets with order labels in a timely, accurate and efficient manner per Company standards.
  • Lift products weighing between 5-60 lbs. frequently and products weighing up to 75 lbs. occasionally, while ensuring and maintaining a safe work environment.
  • Operate power industrial equipment such as a sit down forklift, reach truck and order picker.
  • Maintain a clean and safe work environment by properly disposing of pallet boards, wood chips, and other trash, etc. and ensuring any spills are cleaned up quickly and according to safety guidelines.
  • Conduct inspections of powered industrial equipment as required, using a safety checklist, to ensure such equipment is in good working order.
  • Report damage products and quality issues and notify supervisor of out-of-stock.
  • Participate in rotation of products, move products to dock areas and perform other duties as assigned.
  • Able to assist with carrier scheduling, paperwork processing and other various duties, as needed.

Education and Experience:

  • High School Graduate (Preferred)
  • Prior warehouse / distribution experience preferred. Prior experience operating power industrial equipment is preferred.
  • Must be able to work weekends, holidays, day and evening hours, and overtime as assigned.
  • Ability to follow basic verbal and written instructions and communicate effectively to conduct the job requirements.
  • Basic reading, writing and arithmetic skills are required.
  • Computer skills:  Microsoft Suite, online systems and hand scanners.

Job Hours:  Monday – Friday:  8 am to 5 pm

The warehouse team member will report to the Manager of Warehouse Operations.
